The Core Difference

What Canva Does Well
Canva's certificate template library is large, the drag-and-drop editor is intuitive, and the design quality ceiling is high. For someone issuing 1–5 certificates per year — an award for a school, a thank-you certificate for a volunteer event, a single course completion — Canva is a perfectly reasonable choice.
You design the certificate, type in the recipient's name, download the PDF, and email it. That's maybe 5–10 minutes of work per certificate, which is acceptable at very low volume.
Where Canva Breaks Down
The name problem. Canva has no mail-merge capability. If you need to issue certificates to 50 trainees who all completed the same program on the same date, you have to open the same template 50 times, change the name each time, download 50 separate PDFs, and email 50 people individually. At 50 recipients, that's easily 3–4 hours of admin work. At 200 recipients, it's a full day.
The verification problem. Canva can place a QR code graphic on a certificate, but there is no verification infrastructure behind it. The QR code is a design element — it can link to your website, or nowhere at all. When an employer scans it, there is no verification page confirming the certificate is genuine. This makes Canva-produced certificates effectively unverifiable.
The tracking problem. Once you email a PDF, you have no idea if the recipient received it, opened it, or has access to it. If someone loses their certificate, there is no self-service re-download option — they have to contact you, and you have to manually recreate and resend.
The audit problem. There is no record of who received what certificate, when, and whether delivery was confirmed. For organizations with compliance requirements, this is a significant gap.

Recipient self-service. Recipients can re-download their certificate anytime from the link in their original email. No admin intervention needed if someone switches devices or loses their local copy.

The Honest Overlap
At very low volume (1–5 certificates), both work. If you already use Canva for other design work, it costs nothing additional to use it for occasional certificate design. The limitation is only apparent when volume increases or when QR verification becomes a requirement.
The typical pattern: organizations start using Canva for certificates because they already have a subscription. As volume grows and the manual send-one-by-one process becomes a bottleneck, they switch to SendCertificates.
